Linnaeus University's intranet Staff (Medarbetare) is a communal site for information and communication for everyone working at Linnaeus University.
Staff consists of two parts, one part with information for employees, both general information and information that is specific for your faculty or department, and one part that is based on you being a member of different groups, both compulsory ones and self-chosen ones.
Information to you as an employee can be reached through the left-hand menu, whereas you will see the news and posts from your different groups in the middle column on the start page.
You log in using your staff account. You will then come to your personal start page where you will see news and posts from the groups in which you are a member.
Do you need Google Translate for the intranet? Your supervisor can send your email address to kommunikationsavdelningen_AT_lnu.se and ask for the Google Translate feature on the intranet.
If you cannot read Swedish you can get help from our Google Translate function with which you can perform direct translations of news, posts, and comments in your stream. Ask your manager to email your name to kommunikationsavdelningen_AT_lnu.se and we will give you access to Google Translate on Staff.
The social part of Staff is based on employees as members of various groups.
All employees are members of at least three obligatory groups. All employees are automatically part of the groups 'Newsletter from Linnaeus University' and 'Operating Information'. You are also member of at least one obligatory group which is connected to the department, section or unit where you are employed.
In addition you may yourself start a group which you are interested in.
You can visit the Staff intranet by logging in but it is also possible to access the site without logging in. When you are logged in the page is yellow, otherwise it is grey.
As a non-logged in visitor you will be able to see news items and posts which are published in some choosen groups on the intranet. On the left of the page you can see the navigation where you can access the pages on the internal web. In the middle of the page you can see the news feed and posts from a few choosen groups.
To log in to the Staff intranet, you need to go into the medarbetare.lnu.se page. Top right you will find the yellow log-in button. Click on the button and then fill in your usual login details as you would if you logged in to Parlando, Primula or webmail. You are now logged in!
When you have logged in to the Staff intranet you will come to your personal start page, which you can change to suit your own needs. In the middle of the page you will see your feed ie the news items and posts which have been made in the groups of which you are member.
In the yellow bar (which is grey if you are not logged in) you will see some clickable icons. From left as follows:
- A calendar leading to our system for booking rooms.
- A b leading to the storage space Box.
- An m leading to the learning platform MyMoodle.
- A flower leading to the university’s staff management system Primula.
- A telephone receiver leading to the university’s phone system Trio.
- A letter leading to the web mail.
In the black bar at the top of the page you will find your personal icons. From left as follows:
- A speech bubble leading to “My active posts and comments”. When you click on this, a dialogue box will appear in which you can see news and comments where you have been active. The latest activity listed at the top. If anything new has happened in the news or posts in which you have been active a pink number will be shown next to the icon.
- The icon with the figures leads to “My groups”. When you click on this, a dialogue box will appear in which you can see all the groups in which you are a member. The group containing the latest activity will be listed at the top. If anything new has happened in the groups in which you are a member a pink number will be shown next to the icon.
- The icon with the heart leads to “Shortcuts”. When you click on the heart, a dialogue box will appear in which you will see shortcuts from the groups in which you are a member. You can choose what shortcuts you want to see by clicking on “Choose your shortcuts” in the upper right corner of the box.
The first time you log in to Staff you will find some additional introductory information relating to the page. There is a video clip showing you how to do get around on Staff. When you have seen the clip you can click on the pink cross to remove it.
You will automatically receive an email with information about what has happened in your groups on Staff. As default, the email has been set to be sent out once every week (Fridays at noon) in Swedish. You can change this by clicking on your name in the black bar, and then on “Settings”. Here you can choose whether you wish to receive an email every day or if you do not want to receive it at all. You can also choose to get the weekly email in English.
Under “Settings” you can also change the information that is shown when performing a search on your name on Lnu.se or Staff. You can, for instance, add more information about what you do and upload a picture of yourself.
All employees who are logged in using their staff accounts can write on Staff. When you are logged in you can submit posts and comment in all the visible groups; you don't need to be a member of the groups to write in them. However with regards to the visible groups, only members of the groups can see the contents of the group as well as being able to write contributions to the group.
When you submit a post to a group, you will see your name registered as the poster of the message. This is the same procedure when you write a comment- your name appears next to the comment. Posts and comments are always personal.
When you are logged in you can write comments, follow, and like news and posts. In order to do this you click on a post and then you can comment, follow, or like the post.
The like button is the thumb in the bottom left corner of the post, the follow button is found in the bottom right corner of the post, and the commenting field is directly below the post.
All employees are free to start groups of their own (when logged in). You do this by clicking on “Staff groups” in the left hand menu. After that, click on “create new group”, follow the instructions and fill in the information required.
One of the most important aspects to consider is whether the group should be visible or hidden. This you can´t change when the group is created. Visible groups are visible for everyone, while activities in hidden groups only are visible for its members.
The person creating the group will automatically be the group responsible. As a group responsible you have a few more privileges and responsibilities than others in the group.
The group responsible can for example decide on who is group manager, invite new members to the group, publish 'official' group news items where the group is registered as the poster as well as adding shortcuts of interest to the group.
Note that the search results you obtain when you search using Staff are not the same as when you carry out a search in Lnu.se. The information contained in Staff is directed towards employees while the information at Lnu.se is aimed at external visitors.
Staff is an intranet for the university’s employees. However, there may be persons who are not employed by the university who still, for various reasons, needs access to certain parts of Staff. Therefore, it is possible to log in to Staff with an external account.
When doing so one has access to most functions available on Staff today, for instance one can become a member in a group, get invited to groups, create posts, and comment.
